How to Use Facility

Registration is essential for External Users for Sample Testing. At the end of registration you will receive an email for successfull registration. Your registered email id will be used as your user id and will be used in all future correspondences.

In order to make a request for registration, external users should register themselves at https://nitrkl.ac.in/CRF/Services/External-Users/Register/.

• Any wrong information provided may lead to cancellation of your registration.
• Cover letter and MSDS documents should be avaliable with you while filling the request form. Cover Letter Format (Download) :: MSDS Format (will be available while choosing the instrument in request form).
• Please upload your documents after inspecting them carefully. Any problem(s) in the documents, may result in significant delay the process.
• Dispatch address will be same as address on letter head.
• The analytical data/spectra are provided only for research/development purposes. These cannot be used as certificates in legal disputes.
• Service charges are payable at prevailing rates.
• You can come in person or send your samples by post.
• Samples, cover letter and payment receipt should be sent in the same cover only. If samples are received without covering letter/payment receipt, the samples will be sent back to the user without any further intimation/notice. Samples will not be analysed until payment is received.
• If you are sending samples for multiple Analysis. Please send separate samples for each analysis.
• Please send the samples in quantity as mentioned in the Sample Experiment Charges. Samples are not recoverable.
• In all correspondence related to analysis our reference/registration number must be mentioned.
• Radio-active material should be clearly mentioned and handed over personally.
• Unstable and explosive compounds are not accepted for analysis.
• Services will be rendered preferably to those users who regularly give us feed -back about the and use of the result ,e.g. thesis, patent, process publication etc.
• Research fellows and students are advised to send their application and samples through their Supervisor or Head of Department.
• Interpretation of spectra is not undertaken normally. In special cases this service can be provided on payment on extra charges in consultation with the PIC Instrument.
• If you want samples back, please inform to particular laboratory or mention in your letter.Kindly arrange to collect your samples back. Samples which are not collected within a week from the date of report collected/sample analysis will be disposed of immediately without any further notice.
• If the correct sample is not tested within the mentioned time frame due to some unavoidable situation, the corrected sample will be tested as per the availability of the time slot.
• After activation of payment link, the payment must be made within 72 hours. The booking will automatically be cancelled after 72 hours, if failed to pay and upload the transaction details in CRF portal. In such cases sample testing will not be done.
• Any wrong payment received will leads to cancellation of booking and sample testing.
• Payments once made will not be refunded back. Due to incorrect payment sample testing will not be done.
• Unavoidable circumstances may be resolved with due permission of competent authority.
• We do not provide any accommodation. You have to arrange on your own.

• Make payment after receiving estimated amount, MSDS document acceptance and Cover letter acceptance notification by email and activation of payment link.
• MSDS document acceptance email will show the account details in order to make the payment.
• Payment has to be made for each registration separately and payments of different registration should not to be clubbed together.

Samples have to be submitted by post or brought along on the date of your appointment for your sample analysis. All the users are required to submit MSDS (Material Safety Data Sheets) for each sample, a certificate stating that the samples submitted are non- toxic / non-hazardous and that the sample does not require special precaution while handling.

After the sample analysis is completed, the results may be collected in person or dispatched by post or email or available in CRF Portal. The user does not have to pay any additional fee for dispatch of the analysis results that are sent by post. The analysis results/reports will not carry any signature and stamp of CRF NIT Rourkela.
